Utility template

A pre-approved WhatsApp message for transactional updates: appointment reminders, order confirmations, shipping notifications. Cheaper than marketing templates.

What it means

Utility templates are the workhorse of post-purchase and post-booking communication. They cover transactional updates the customer is expecting: appointment confirmations, delivery alerts, account changes, order status. Like marketing templates, they must be pre-approved by Meta. Unlike marketing templates, they are charged at a lower rate.

Inside an active 24-hour window (after a customer messages you first), utility templates are free. Outside the window, each utility template costs a small per-message fee that varies by country.

Why it matters

Most businesses overpay for messaging because they default to marketing templates when a utility template would do. A reminder that an appointment is tomorrow is a utility message, not marketing. Routing it correctly cuts the per-message cost meaningfully.

Sending the right template type also matters for deliverability. Meta is increasingly strict about templates labelled as utility actually being transactional. Mislabelling promotional content as utility can flag the account.

Example

An aesthetic clinic books 60 appointments a week. Each gets a 24-hour reminder. If those reminders went out as marketing templates the bill would be roughly SGD 18 a week. Sent correctly as utility templates inside the active window (and outside, when needed) the bill is closer to SGD 2 a week.
